Seasonal staffing schedule drafts
SI turns last season's roster, returning-staff notes, and this season's coverage rules into a draft schedule for peak weeks, for a manager to adjust.
Worth knowing: Labor rules such as overtime, required breaks, and minors' hours stay with the manager. SI drafts; it does not decide compliance.
The problem
Peak weeks need more people, different hours, and a mix of returning seasonal staff and new hires. Drafting next week's schedule from availability covers a normal week. It does not plan the extra shifts, holiday closures, and who is actually coming back this season.
What SI does
SI reads the last season's roster, this year's returning-staff notes, time-off, and the coverage rules you give it (roles per shift, days the shop is closed, max hours). It drafts a schedule for the weeks you name, lists shifts it could not fill, and flags people who worked last year but have not confirmed. It does not publish the schedule, text staff, or decide overtime.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Ice cream shop
Last summer's scoopers and this year's returning list produce a draft for opening week, with Friday nights still short a closer flagged for the owner.
- Christmas tree lot
Weekend coverage is drafted from last December's shifts and this year's confirmed crew, with Christmas Eve hours left for the manager to confirm.
- Beach-rental outfitter
Memorial Day through Labor Day weekends are drafted against the equipment-counter roles you listed, and anyone who has not confirmed a return is set aside.
What it takes to set up
GemmiSI sets this up on your own equipment and accounts; your data stays with you. Last season's roster or schedule export, a note on who is returning, coverage rules for the peak weeks, and the scheduling sheet or tool. Setup is often a few days before the season, then a refresh when hours change.
What a human still checks
- The manager reviews and publishes the schedule.
- A person approves anything that sends, pays, orders, or posts.
- Overtime, minors' hours, and other labor-rule exceptions are decided by a person.
Try it yourself
Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
Using last season's roster [file], this year's returning-staff notes [file], time-off [list], and these coverage rules [roles per shift, closures, max hours], draft a schedule for [weeks]. List unfilled shifts and people who have not confirmed. Do not publish the schedule or message staff. Pause and show me before sending, paying, ordering, posting, or changing anything.
