Morning inbox triage into labeled queues
Each morning SI sorts the shared inbox into clear queues, flags what is urgent, and leaves draft replies for a person to review.
The problem
A shared inbox mixes customer questions, vendor mail, invoices, newsletters and spam. Urgent messages get buried, and the first hour of the day goes to figuring out what needs attention instead of answering it.
What SI does
SI reads new messages, applies labels you define (for example: new request, existing customer, billing, vendor, needs owner, ignore), and pulls out the key detail for each, such as a job address, an account name or a requested date. It marks anything time-sensitive, writes a short summary at the top of each queue and leaves draft replies for routine questions. Nothing goes out without a person pressing send.

The same job looks different in different businesses. These are illustrations, not client results.
- Plumbing and heating contractor
Overnight emails are split into emergency calls (no heat, active leak), new estimate requests with the address and problem pulled out, and supplier mail, so the dispatcher starts with the emergencies.
- Accounting practice
During busy season, client emails are labeled by client and topic (missing document, question about a return, payment), and anything mentioning a notice or deadline is flagged for a partner.
- Property management office
Tenant emails are sorted into maintenance, rent and lease questions, and prospective-tenant inquiries, with maintenance messages marked by urgency.
What it takes to set up
Connect the inbox with permission to read, label and draft, but not send. Write down your queue names, what counts as urgent, and a handful of good past replies to match your tone. Setup is often a few days, followed by a week or two of adjusting the rules.
What a human still checks
- A person reviews and sends every draft; SI never sends on its own.
- Messages SI is unsure about go to a 'needs a human' queue rather than being guessed.
- Labels and urgency rules are reviewed after the first couple of weeks and adjusted.
