Scheduling & operations

Turning incoming work and maintenance requests into scheduled jobs

SI turns work requests from email, forms and messages into job tickets, sorts them by urgency, and drafts a schedule and customer updates.

The problem

Requests arrive by phone, text, email and portal. They get written on paper, entered late, or lost, and customers do not know when someone is coming.

What SI does

SI reads each request, creates a job ticket with the location, problem, urgency and any photos, and checks capacity or vendor availability. It proposes a time slot or the right vendor by your rules, drafts the message to the customer or tenant with the plan, and drafts the dispatch note to the technician or vendor.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Property management company

A tenant's email about a leaking kitchen faucet becomes a ticket marked routine, assigned to the plumbing vendor, with a draft reply giving the expected visit window.

  • Commercial cleaning company

A client's request for an extra floor-waxing visit is scheduled into the next open night crew slot.

  • School facilities office

Teacher requests for repairs are logged by building and room and grouped into the custodian's weekly plan.

What it takes to set up

Access to the request channels, the job or maintenance system, and your urgency and assignment rules. Setup is often one to two weeks.

What a human still checks

  • A dispatcher or manager approves assignments and customer messages.
  • Emergencies follow your escalation rules and are confirmed by a person.
  • Vendor work orders above a set amount need approval.

Try it yourself

Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.

Copy-ready prompt
For each request in [channels], create a ticket with location, problem, urgency per [rules], and attachments. Propose a time or vendor using [capacity calendar or vendor list]. Draft a message to the requester with the plan, and a dispatch note to the assignee. Pause and show me before sending, submitting, posting or changing anything.
