Reviewing timesheets and time off before payroll

Before each payroll run, SI checks timesheets against schedules and time-off records and lists anything that looks wrong for a person to fix.

Worth knowing: Payroll and wage rules are regulated. SI only flags issues; payroll decisions and tax filings stay with the owner, payroll provider or accountant.

The problem

Payroll errors come from missed punches, unapproved overtime and time off that was never recorded. They are found after the paychecks, which is awkward for everyone.

What SI does

SI compares timesheets with the schedule, approved time-off requests and job or project codes. It lists missing punches, unusually long shifts, overtime without approval, time off taken but not recorded, and hours coded to the wrong job. It prepares a summary for the payroll person. It does not run payroll or approve hours.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Landscaping company

Two crew members are missing clock-outs on the same day, and overtime on a Saturday job was not approved.

  • Restaurant

A server's paid sick day was taken but not recorded, and a cook's hours exceed the schedule by a full shift.

  • Engineering consultancy

Hours coded to a closed project are flagged before they are billed or paid.

What it takes to set up

Exports from time tracking, scheduling and time-off records. Setup is often a few days.

What a human still checks

  • A manager resolves each flagged item with the employee.
  • Payroll is run and approved by a person.
  • Wage-and-hour rules are the owner's or payroll provider's responsibility.

Try it yourself

Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
