Replying to customers in English and Spanish

SI drafts a reply in the language the customer wrote in, English or Spanish, and leaves it for someone who can read that language to approve.

Worth knowing: SI is not a certified translator. A person who reads the customer's language should approve anything the customer will see.

The problem

Customers write in Spanish and the reply waits, or it goes out in awkward English. The rest of the inbox work does not cover language. In a place where customers use both languages, the slower language becomes the one that feels ignored.

What SI does

SI detects whether the incoming message is in English or Spanish, drafts the reply in that language, and can include the other language underneath if you want a copy for the file. It uses your past replies and your policy as the source, and it does not add offers that are not in those materials. Messages about complaints, refunds, or anything SI is unsure how to say go to a person with both drafts, or with a note that it could not draft safely.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Home-services company

A customer asks in Spanish for a visit window. SI drafts the reply in Spanish from the scheduling rules, and the dispatcher who reads Spanish approves it.

  • Retail shop

A product question arrives in Spanish. SI drafts an answer from the product notes and flags that the notes do not mention the warranty, so that part is left for the owner.

  • Clinic front desk

Appointment questions come in both languages. SI drafts each reply in the language of the message and leaves insurance or billing questions for the front desk to handle.

What it takes to set up

A handful of good replies in each language you actually send, your policy for the topics that come up, and the inbox or helpdesk. Name the person who will approve Spanish before it goes out. Setup is often a few days.

What a human still checks

  • A person who can read the customer's language approves every reply before it is sent.
  • SI does not send on its own.
  • Complaints, money, and legal wording stay with a person.

Try it yourself

Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.

Copy-ready prompt
Read this customer message [paste]. If it is in Spanish, draft the reply in Spanish. If it is in English, draft the reply in English. Use only these past replies and this policy [paste]. Do not add prices, promises, or policies that are not in that material. If you are unsure, say so and draft nothing firm. Pause and show me before sending, submitting, posting, or changing anything.
