After-hours and busy-time phone coverage

A voice assistant answers calls you would miss, handles common questions, takes detailed messages or requests, and sends staff a summary.

Worth knowing: Call recording and automated calls are regulated, and consent rules differ by state and country. Disclose the assistant and any recording, and check the rules that apply before going live. Medical practices should keep the assistant away from clinical questions.

The problem

Calls that go to voicemail often never call back. Small offices cannot staff the phone through lunch, evenings and weekends, and busy moments mean the person on the phone cannot also serve the person in front of them.

What SI does

When nobody picks up, a voice assistant answers with your greeting, handles a short list of approved questions (hours, location, services, how to book), and takes a structured message: name, number, reason, urgency. For true emergencies it follows your escalation rule, such as forwarding to the on-call phone. Staff get a text or email summary of each call.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Heating and cooling contractor

A 9 p.m. no-heat call is identified as urgent and forwarded to the on-call technician, while a request for a maintenance quote becomes a message for the morning.

  • Small medical practice

Over lunch the assistant gives office hours and directions and takes callback messages, routing anything that sounds urgent to the instructions you approved.

  • Towing and roadside service

After hours, callers' location and vehicle details are collected and texted to the driver on duty.

What it takes to set up

A phone number or forwarding rule, the approved question list, your escalation rules, and a message format. Setup is often one to two weeks including test calls.

What a human still checks

  • Callers are told they are speaking with an automated assistant.
  • Emergency rules are tested before going live and reviewed regularly.
  • Staff return every message; the assistant does not make commitments on price or timing beyond what you approved.

Copy-ready prompt
Draft a phone script for after-hours calls to [business]. It should greet callers, say it is an automated assistant, answer only these questions [list], take a message with name, number, reason and urgency, and treat these situations as emergencies [list] by [forwarding to number]. Write the summary text staff will receive. Pause and show me before sending, submitting, posting or changing anything.
