A weekly list of emails still waiting on you
Once a week SI finds threads where a customer, client or vendor is still waiting for your reply, and lists them with a suggested next step.
The problem
Some emails get read, mentally filed as 'later', and never answered. Nobody notices until the other person follows up, annoyed, or quietly takes their business elsewhere.
What SI does
SI scans received and sent mail for the past few weeks and finds threads where the last message came from someone else and asked a question or requested something. It skips newsletters, notifications and threads that were clearly closed. The result is a short list grouped by who is waiting, how long they have waited, and what they asked, with a draft reply for the simple ones.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Architecture firm
Friday afternoon, the principal gets a list of six client and consultant emails with open questions, including a structural engineer waiting on a drawing revision for nine days.
- Independent insurance agency
The list shows two clients who asked about adding a driver to their policy and never heard back, plus a carrier underwriter waiting on a signed form.
- Catering company
Three inquiry emails about spring events are surfaced, each with the requested date and headcount, before those dates get booked by someone else.
What it takes to set up
Read access to the mailbox (and draft access if you want replies drafted). A list of senders or domains to ignore. Setup is often a day or two.
What a human still checks
- A person decides which threads actually need a reply and sends any drafts.
- Threads involving complaints or money are flagged for the owner rather than drafted.
- The ignore list is updated as false alarms show up.
