A weekly announcements email for members

SI gathers the week's events, schedule changes and notices from your calendar and contributors, and drafts the members' email for approval.

The problem

The weekly email depends on one volunteer or staff member collecting items from everyone by text and email. Items arrive late, details are wrong, and the email goes out late or not at all.

What SI does

SI collects items from a submission form, the shared calendar and forwarded emails, checks dates and times against the calendar, and drafts the email in your usual layout: this week's schedule, upcoming events, notices, volunteer needs and celebrations. It lists items with missing details for the editor.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Synagogue

Service times for the week, a guest speaker, the kiddush sponsor and a volunteer call for the holiday are pulled into the Thursday email.

  • Homeowners association

Pool hours, a landscaping schedule and the next board meeting go into the weekly bulletin.

  • Youth sports league

Game schedule changes, field closures and picture-day details are gathered from coaches.

What it takes to set up

A submission form, calendar access and a past issue as a template. Setup is often a day or two.

What a human still checks

  • The editor or administrator approves the email before it goes out.
  • Personal news (illness, bereavement) is included only with permission.
  • Mailing lists follow subscribe and unsubscribe rules.

Try it yourself

Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
