Keeping store stock counts and your spreadsheet in agreement
SI compares the store's available count, the warehouse or location count, and the spreadsheet, and lists where they disagree before you oversell or reorder the wrong amount.
The problem
The online store, the back room or warehouse, and the spreadsheet each hold a number for the same item. They drift. A low-stock watch only looks at one threshold. It does not tell you that the store, the shelf count, and the sheet each show a different number for the same item.
What SI does
On a schedule you choose, SI lines up items by SKU or name across the sources you give it and lists mismatches: store versus spreadsheet, store versus a location count, or sheet versus a physical count. It notes which source is newer when dates are in the file, and separates small differences from ones large enough to cause an oversell or a bad reorder. It does not change counts in the store or the sheet.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Online retailer with a back room
The store shows a size in stock, the shelf count does not, and the sheet is a third number. SI lists that SKU with all three figures for the owner to reconcile before the next ad.
- Shop that also sells on a marketplace
The marketplace quantity and the master spreadsheet disagree on a handful of SKUs. SI lists only those rows, with the last time each file was exported.
- Retailer that counts the floor on Fridays
Friday's count sheet is compared with the store's available quantity, and items that were received but not added to either list are called out.
What it takes to set up
Exports or read access for the store catalog and the spreadsheet, plus any location or warehouse count you keep. A rule for which differences to surface (for example, any mismatch, or only gaps above a number you set). Setup is often a few days.
What a human still checks
- A person decides which source is right before any count is edited.
- SI does not push stock changes to the store or the sheet on its own.
- Items with bundles, kits, or open orders are flagged rather than forced to match.
Try it yourself
Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
Compare stock counts in [store export] and [spreadsheet], matching on [SKU or name]. Also compare [location or warehouse count] if I attach it. List items where the numbers disagree, with each source's quantity and the date of each file. Separate mismatches larger than [number you set] from smaller ones. Do not change any count. Pause and show me before sending, submitting, posting, or changing anything.
