Drafting next week's staff schedule from availability

SI collects availability and time-off requests and drafts next week's schedule against your coverage rules, for a manager to adjust.

The problem

Building the schedule means reconciling texts, time-off requests, availability changes and coverage needs. It eats a manager's evening and still leaves gaps.

What SI does

SI gathers availability and requests from a form or shared sheet, applies your rules (minimum coverage per shift, required skills or certifications, maximum hours, fair rotation of weekends), and drafts a schedule. It lists any shift it could not fill and any rule it had to bend, so the manager decides.

Examples

The same job looks different in different businesses. These are illustrations, not client results.

  • Restaurant

Servers' availability and two time-off requests produce a draft with a trained bartender on every shift, and a Saturday double flagged as overtime.

  • Home health agency

Caregiver availability is matched against client visit times and travel areas, with one uncovered visit flagged.

  • Retail store

Weekend shifts rotate fairly across part-timers, and holiday coverage is drafted a month ahead.

What it takes to set up

A form or sheet for availability, your coverage rules, and the scheduling tool or sheet. Setup is often several days.

What a human still checks

  • The manager reviews and publishes the schedule.
  • Overtime and rule exceptions are decided by a person.
  • Labor rules such as required breaks and minors' hours are confirmed by the manager.

Try it yourself

Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
