Tracking staff licenses, certifications and training renewals
SI keeps one list of staff licenses, certifications and required training with expiry dates, and reminds people well before anything lapses.
The problem
Licenses, certifications and required trainings expire on different dates. A lapse can mean someone cannot work, or a problem at an inspection or audit.
What SI does
SI reads certificates and records from a shared folder or HR system, builds a list of each person's credentials with issue and expiry dates, and sends reminders to the person and their manager ahead of each expiry. It flags anyone scheduled for work that requires a credential they do not currently hold.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Electrical contractor
Electrician licenses, lift certifications and safety training are tracked, with a reminder to renew a lift card before a job that needs it.
- Childcare center
CPR and first-aid certifications and background-check renewals are tracked for every staff member.
- Home health agency
Nursing licenses and required annual trainings are tracked for each caregiver.
What it takes to set up
Copies of certificates or HR records, and the list of required credentials per role. Setup is often a few days.
What a human still checks
- A manager confirms dates against the original documents.
- Scheduling decisions about uncertified staff are made by a person.
- Credential records are kept with access limited to managers.
Try it yourself
Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
From these certificates and records [folder], build a list of each person's licenses, certifications and trainings with issue and expiry dates. Compare with required credentials per role [file]. Draft reminders [60] and [14] days before expiry, and flag anyone scheduled for work needing a credential they lack. Pause and show me before sending, submitting, posting or changing anything.
