Gift-card and holiday promo tracking
SI lines up outstanding gift cards and holiday promo codes from your POS export so you can see what is still open, without changing balances.
Worth knowing: Gift-card expiry, breakage, and unclaimed-property rules vary. SI lists what is in your export; it does not give legal or tax advice.
The problem
Gift cards sold in December and promo codes from a holiday weekend live in the POS, a spreadsheet, and someone's memory. Subscriptions and renewals track recurring plans. Sales-tax prep notes are for the accountant. Neither is a list of outstanding gift cards and holiday codes the shop still has to honor.
What SI does
SI reads the gift-card and discount-code export you provide. It lists outstanding gift-card balances, codes still marked active, codes past the end date you recorded, and totals by type (gift card vs promo). It flags rows with no end date or a balance that does not match the last activity line. It does not change balances, expire codes, charge anyone, or file anything.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Neighborhood restaurant
December gift cards still open are listed with the remaining balance as printed in the POS, and codes with no end date are set aside.
- Spa that sells holiday packages
Holiday promo codes still marked active after the weekend you named are listed next to the end date in the file, for the owner to turn off.
- Toy and gift shop
Outstanding gift cards from last December are totaled by month of sale as they appear in the export, with unused cards that have no activity flagged for review.
What it takes to set up
GemmiSI sets this up on your own equipment and accounts; your data stays with you. A gift-card and discount-code export from the POS or booking tool, and a note on which statuses count as open. Setup is often a day or two after the holiday rush, then a monthly refresh.
What a human still checks
- A person checks that balances and dates match the POS before relying on the list.
- A person approves anything that sends, pays, orders, or posts.
- SI does not expire codes, change balances, or take payment.
Try it yourself
Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
Using this gift-card and discount-code export [file], list outstanding gift-card balances, codes still marked active, codes past the end date in the file, and totals by type. Flag rows with no end date or a balance that does not match the last activity line. Do not change balances, expire codes, charge anyone, or file anything. Pause and show me before sending, paying, ordering, posting, or changing anything.
