Monthly themes from customer questions, complaints and surveys
SI groups a month of support messages, reviews and survey answers by theme, counts them, and suggests what to fix upstream.
The problem
The same problems generate complaints month after month, but nobody steps back to count them. Fixes target whatever was loudest, not what was most common.
What SI does
SI reads the month's tickets, emails, reviews and survey comments, groups them by underlying cause (billing confusion, late arrivals, unclear instructions, a product defect), counts each, and quotes a few representative examples. It suggests one or two upstream fixes for the biggest themes.
Examples
The same job looks different in different businesses. These are illustrations, not client results.
- Pediatric clinic
Many calls this month were about how to read the new online lab results, suggesting a short guide for parents.
- Moving company
Complaints group into arrival-window misses and surprise charges for stairs, pointing to clearer quotes.
- Adult education program
End-of-course evaluations show repeated requests for evening sections and earlier access to materials.
What it takes to set up
Exports from the helpdesk, review sites or survey tool. Setup is often a few days.
What a human still checks
- The owner decides which themes to act on.
- Personal details are removed from quoted examples.
- Theme groupings are checked against a sample of raw messages.
Try it yourself
Paste this into your SI tool of choice and swap the [bracketed] parts for your own details. It asks SI to stop and show you before it does anything.
Here are this month's support messages, reviews and survey comments [exports]. Group them by underlying cause, count each group, and quote [2] representative examples with personal details removed. Suggest [1-2] upstream fixes for the largest groups. Pause and show me before sending, submitting, posting or changing anything.
